OFFICE MANAGER - £27-£37K (DOE) - PERM - LONDON (CREATIVE EXPERIENTIAL AGENCY)
This is a really exciting opportunity for an experienced Office Manager to join a creative, experiential agency, based in East London! The agency are fast paced and work with some of the biggest brands, from gaming to drinks brands and FMCG. They're looking for an organisational super-star who will be able to hit the ground running, integrate into the team and manage a multitude of projects at any one time.
Developing and implementing new admin systems to aid the general running of the office
Main POC for any building and office supply issues
Utilising POWOWNOW to set up conference calls
Ensuring the building and office equipment is in good working order
Maintain and upgrade paper and electronic filing system with the intention to go paperless
Arranging and management of couriers & post
Managing office supplies including paper & studio supplies
Responsibility for procuring and allocating mobile phones
Responsibility for archiving and recycling facilities
Dealing with supplier issues, if any, ensuring we are being cost effective for the business
Devising and maintaining office systems, including data management and filing
Working with Management to provide solutions to any impacting office issues
Creating and implement a new starter induction process to cover Health & Safety, building facilities, processes & procedures, IT etc.
Act as a central point of contact for external IT company, handling any IT issues and reporting to management and wider team
Plan ahead and liaise with IT as necessary on new starter and freelancer IT requirements. Ensuring adequate kit is available (computers/ phones etc.)
Ensure leavers IT kit is returned on their last day and dealt with appropriately.
Meet and greet key clients and visitors including interviewees, ensuring that they are made to feel comfortable and welcome at all times.
Set up of meeting rooms for client meetings and interviews
Arrange catering for meetings on request
Monthly agency meeting - support with catering, drinks and set up once a month
Organise travel and accommodation for business trips for the MD travel, ensuring accuracy and attention to detail at all times
Updating company websites [training provided]
Update company LinkedIn and social channels [copy and imagery will be provided by team]
Create and plan staff events as needed
Maintenance of list of all employee mobile numbers for potential communication cascade in the event of emergencies (Business Continuity).
